Participants holding a foreign passport who are traveling to Debrecen, Hungary, may need to apply for a Schengen visa, unless they are citizens of visa-exempt countries. To confirm your specific visa requirement, please consult the nearest Hungarian Embassy or Consulate or their official website.

Participants must apply for their visa at the Hungarian Embassy or Consulate responsible for their place of residence. To avoid delays, it is strongly recommended to apply at least six weeks before the planned travel date.

For most participants, a short-stay Schengen visa (Type C) is applicable for conference attendance and tourism purposes.

-Visa application procedures may vary across different diplomatic missions.

-Some embassies may require online appointment booking prior to submission.

-Recent biometric passport photos, a valid passport, proof of accommodation, travel medical insurance, proof of sufficient financial means, and travel itinerary are commonly required.

-Please verify all specific document requirements and procedures with the local Hungarian Embassy or Consulate.



Invitation Letters

The official invitation letter will be issued by the Organizing Committee after your successful conference registration.

It is essential that the name you provide for registration matches exactly the name in your passport. Any inconsistency can result in visa processing delays or refusal.

The Organizing Committee will provide the invitation letter only as acknowledgment of your conference participation and is not authorized to assist with the visa application process beyond issuing this letter.

The Committee cannot intervene or communicate with Hungarian immigration authorities or embassies on your behalf in case of visa denial.

Visa processing generally takes up to 15 calendar days or more, so early registration and visa application are strongly advised.

Please note that the conference registration fee is non-refundable in case your visa application is rejected.
